Introduction
ODS Foundation respects the privacy of all users of its website and services and handles all personal data confidentially. We use your personal information to process your requests as fast and simple as possible and to optimise our service provision. We shall only use your information for marketing purposes with your consent.
In this statement we will explain how we use the applicable information and for which purposes.
ODS Foundation, with its offices in 6129 EL Urmond, Mauritslaan 49, is responsible for the processing of personal data as described in this privacy statement.
Personal data that we process
ODS processes your personal data because you use our services and/or because you provide us with this information yourself. Below, we list the personal data that we process:
- First name and surname
- Gender
- Date of birth
- Place of birth
- Country
- Address details
- Telephone number
- Email address
- Name of employer
- Log-in details
- Membership number
- Other personal data that you actively provide, for example by creating a profile on this website, in correspondence and on the phone
- Details about your activities on our website (web surfing behaviour, pages you visit)
- Bank account number
ODS also collects and processes personal data of family members of (former) employees of the member companies, who have not yet reached the age of 16 years. They, too, can use the website and the services of ODS. We do not collect and process their personal data without the consent of parents or guardian.
Purpose of and basis for the processing of personal data
ODS processes your personal information for the following purposes:
- Settling payments and handling the services that have been purchased
- Mailing our newsletter and/or targeted actions, both online and offline
- Contacting you by phone or email if this is necessary in the execution of our services
- Informing you about changes in our products and services
- Offering you the option to create an account
- Delivering goods and services to you
- Carrying out analyses to improve our service provision
- Preventing misuse and improper use of our services
ODS also processes personal data if we are under a legal obligation to do so, like information we need to make our tax return.
How long do we store personal data?
ODS does not store your information any longer than required to achieve the objective for which it was collected. We use a document retention period for the term of your membership. Upon termination, your information is stored for another 7 years, based on our fiscal obligations. After this period, all personal data is destroyed.
Sharing personal data with third parties
ODS does not sell your data to third parties and will only supply it if this is necessary in the course of performance of our contract with you or to comply with a legal obligation. We can hire third parties to help us carry out our business operations, manage the website, develop marketing activities or run activities on our behalf. With companies commissioned by us to process your data we sign a processing agreement to ensure the same level of security and confidentiality regarding your personal information. ODS remains responsible for these processing activities.
Accessing, rectifying or deleting data
You have the right to access and rectify your personal data or ask for your data to be deleted. Furthermore, you have the right to withdraw your consent for the processing of your data or object to the processing of your personal data by ODS and the right to data portability. That means you can submit a request, asking us to send your personal data as a computer file to you or any other person or organisation you indicate.
You can send your request to access, rectify, delete your personal data, your request for data transfer, withdrawal of your consent or objection to the processing of your personal data to privacy@ods-vitaal.nl . To guarantee the request is made by you, we ask you to include a copy of your identity card. In this copy you can block out your passport photo, the machine readable zone (the series of numbers at the bottom of your passport), passport number and your citizen service number, for the protection of your privacy. We will respond as quickly as possible to your request, in any case within four weeks.
How we protect personal data
ODS takes protecting your personal data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized changes. However, if you believe that your information is insufficiently protected after all or notice indications of misuse, please contact us on privacy@ods-vitaal.nl .
The website of ODS can offer you the option of hyperlinks to websites of third parties. ODS does not have any control over the content or other characteristics of these websites or web pages and can therefore not assume any liability for their content or characteristics.
If you suspect that your personal data has been processed in a way that is in conflict with the privacy law, you can lodge a privacy complaint with the Dutch Data Protection Authority (AP), by sending a letter to the Dutch Data Protection Authority, P.O. Box 93374, 2509 AJ The Hague.
Revision of this privacy policy
ODS has the right to revise this privacy policy at all times. If we do so, we will update the review date at the top of this page. We recommend Users to regularly check this page for revisions to stay informed about the way we help protect the personal data collected by us. You acknowledge and agree that it is your personal responsibility to regularly read this privacy policy to keep abreast of any possible adaptations.
